About the Role

Reporting to the Manager, Community Engagement and Development, the Community Engagement Coordinator will serve as a key member of the CHEO Foundation team. The CHEO Foundation is embarking on its largest growth mandate ever, including a capital campaign. The Community Engagement Coordinator is responsible for supporting the Community Engagement (CE) team with administrative tasks pertaining to third party events and supporting signature events. This is an exciting time of growth at CHEO Foundation as we are in a capital campaign that will transform the campus for future generations to come.

Responsibilities include database management and reporting, supporting Community Engagement Officers and the Community Engagement and Development Manager with event planning strategies, scheduling meetings and taking minutes, supporting the team with prospecting and stewardship strategies and supporting CHEO’s capital campaign growth plan.

Time management is one of your strong suits and you are comfortable communicating with third party partners, donors and other CHEO supporters

Primary Responsibilities

  1. Event Inquiries:
    • Receive all new event requests via email or phone and connect with partners for initial details.
    • Work with the Community Engagement and Development Manager to assign new events to the
      appropriate Event Officers.
  2. Gift Management:
    • Review all gift reports and notifications to ensure proper stewardship from Event Officers.
    • Conduct bi-weekly gift audits to support data integrity guidelines as highlighted by the
      organization.
    • Additional Support:
    • Assist Event Officers with preparing Gift Agreements and contracts.
    • Assist with post-event Thank You letters for partners.
    • Create and manage online auction platforms (CHEO Gala, CHEO Charity Classic, and other third
      party events).
    • Assist in updating meeting agendas and record meeting minutes for all departmental meetings.
    • Support the CHEO brand through personalized partner experiences.
    • Help track, report, and deploy cultivation and stewardship activities with events partners for the
      Community Engagement team, and cross-functionally.
    • Maintain data quality and integrity in Raiser’s Edge (RE) and Asana.
    • Attend third party events as needed.
    • Assist the team with prospecting new opportunities.
  3. Reporting:
    • Assist with event donation and registration reports.
    • Prepare upcoming events calendar for weekly departmental meetings.
    • Provide reports tracking revenues, potential revenues, and partnership status.
    • Track and identify prospects from community events.
    • Work cross-functionally to identify prospects and build the pipeline.
  4. Administrative Duties:
    • Submit office supply orders.
    • Use RE to help manage and support the Community Engagement team members (3) and
      Community Event Partners (300+) through the various stages of engagement.
    • Keep inventory of CHEO third party event merchandise and materials.
    • Keep inventory and track all auction prizes received.
    • Support third party event partners by providing key auction documents and set-up instructions.
    • Ensure Executive Leadership Team calendars are updated with event invites.

Qualifications

  • University/College diploma or equivalent experience.
  • Bilingual (FR and EN).
  • Fundraising, event and donor relations/relationship building experience would be an asset.
  • Experience with databases and proficiency in Microsoft Office programs (Word, Excel,
    PowerPoint).
  • Familiarity with Raiser’s Edge/NXT is an asset.
  • Proficiency in project management software such as Asana would be an asset.
  • Ability to plan, develop and implement fundraising plans and procedures.
  • Ability to work and build strong relationships and deliver great customer service with donors and
    third-party partners.
  • Ability to work in collaboration with internal and external partners.
  • Strong analytical capabilities.
  • Deep attention to detail and strong written and verbal communication skills in both English and
    French.
  • Effective interpersonal skills with a professional presence and manner, and capable of exercising
    independent judgment, initiative and flexibility.
  • Ability to manage and coordinate multiple projects in a fast-paced environment.
  • Superb organizational and project management skills.
  • Demonstrated ability to work and think strategically and independently, with minimal
    direction/supervision.
  • Ability to work outside daytime working hours, evenings and weekends, as required
