Join us for the CHEO Teddy Bears’ Picnic, a cherished community event thanking our generous community donors and celebrating the world-class care available for children, youth and families at CHEO.
We are seeking enthusiastic volunteers to be a part of making this year’s Teddy Bears’ Picnic a roaring success. Join our team and help spread joy to families while supporting a great cause.
HOW TO BECOME A VOLUNTEER
- Please review the different roles outlined on this page
- Fill out the Volunteer Registration Form and choose the role interests you.
- Once submitted, you are successfully registered as a volunteer.
We will do our best to honour your role of choice. If it is no longer available, we will work with you to find another role you are interested in.
General Requirements:
- All volunteers must be at least 15 years of age or accompanied by a parent/guardian.
- Note that some roles may have specific requirements. This will be specified in the role description.
- This is an outdoor, rain or shine event. Please dress according to weather conditions.
- Please arrive 15 minutes prior to start time indicated for each role.
As a volunteer you will receive:
- Orientation emails the week of the event with detailed instructions for your role.
- A volunteer t-shirt
- Breakfast & Lunch are free for all volunteers.
- A fun time and the satisfaction of helping a great cause!

VOLUNTEER ROLES
Greeter – Welcome Arch

Time: 7:45 a.m. – 2:00 p.m.
Located at the Welcome Arch – Event grounds entrance.
- Welcome guests as they arrive.
- One volunteer will use a clicker to keep track of each guest as they enter the event grounds.
- One volunteer will use a clicker to keep track of each guest as they exit the event grounds.
Information Tent

Time: 8:00 a.m. – 2:30 p.m.
- Must be friendly, dynamic, and organized individuals.
- Located in the Info Tent.
- Set-up of the Info Tent by making sure all necessary documents are available – instructions, site maps, schedules, FAQ document, etc.
- Answering event-related questions (ride start times, volunteer and participant registration, parking, etc.)
- At the end of the event, please help with the tent cleanup.
- Please do not leave until told to by a member of the CHEO Foundation Staff.
Family Fun Zone

Time: 8:30 a.m. – 2:30 p.m.
- Monitor inflatables and ensure children are taking turns and playing safely.
- Supervise the craft tables and maintain order.
- Assist if any supplies are needed, fill in/relieve staff if required.
- Ensure area is kept clean and tidy.
- Being patient and good with children will be your most important role.
Face Painting

- Warm and welcoming volunteers.
- Help with the flow of the line-up/crowd control.
- Ensure safety and efficiency of the activity.
- Assist the artists as needed.
Note: parents/guardians are required to stay with their children for this activity.
Build-your-own CHEO Bear Tent

Time: 8:30 a.m. – 2:30 p.m.
- Must be friendly and engaging.
- Assisting kids/families with building their own bear – kids will be provided a bear skin to fill with stuffing and then dress up with a CHEO Foundation branded t-shirt.
- Help with crowd control.
- Ensure safety and efficiency of the activity.
- You will be responsible for taking payment in this role.
Note: parents/guardians are required to stay with their children for this activity.
CHEO Bear Hospital Tent – Greeter

Kids bring their own stuffies to the CHEO Bear Hospital and you will fix any boo-boo the stuffies have sustained. All supplies and instructions will be provided for you to effectively do your role.
- Warm and welcoming volunteers to manage the line at the entrance of the tent.
- No previous experience necessary.
- Guide families with strollers and wheelchairs to accessible routes.
- Ensuring families and kids are keeping good humour while they wait.
CHEO Bear Hospital Tent – Trainer

Time: 8:00 a.m. – 2:30 p.m.
Kids bring their own stuffies to the CHEO Bear Hospital and you will fix any boo-boo the stuffies have sustained. All supplies and instructions will be provided for you to effectively do your role.
- You must have volunteered in the BASH Tent at least three times for previous events.
- Train volunteers as they arrive for their shifts.
- Answer questions and assist with breaks/lunches scheduling.
CHEO Bear Hospital Tent – Triage

Kids bring their own stuffies to the CHEO Bear Hospital and you will fix any boo-boo the stuffies have sustained. All supplies and instructions will be provided for you to effectively do your role.
- No previous experience necessary.
- You will be helping with traffic flow and directing kids/families as“doctors” or “medical stations” become available to receive their next “patient.”
CHEO Bear Hospital Tent – Admitting / Orderly

Kids bring their own stuffies to the CHEO Bear Hospital and you will fix any boo-boo the stuffies have sustained. All supplies and instructions will be provided for you to effectively do your role.
- No previous experience necessary.
- Creative imagination and ability to make-believe are a bonus!
- You will be greeting families and acting as a nurse for injured stuffed animals. You will ‘diagnose’ each ‘patient’ and fill out a prescription for various remedies.
- Your goal is always to make the experience fun and memorable for children/youth.
- Your prescription can be anything from “extra hugs and kisses” to “more bedtime stories” all the way to needing a cast (Orthopedics) or stitches (Surgery).
CHEO Bear Hospital Tent – Surgery

Kids bring their own stuffies to the CHEO Bear Hospital and you will fix any boo-boo the stuffies have sustained. All supplies and instructions will be provided for you to effectively do your role.
- No previous experience necessary.
- Creative imagination and ability to make-believe are a bonus!
- Perform a check-up such as taking temperatures, listening to heartbeats, etc.
- You will also be stitching (sewing), stuffing, and repairing stuffies as needed.
- A knowledge of threading a needle and making a basic stitch is recommended, but not required.
- Your goal is always to make the experience fun and memorable for children/youth.
CHEO Bear Hospital Tent – Orthopedics

Kids bring their own stuffies to the CHEO Bear Hospital and you will fix any boo-boo the stuffies have sustained. All supplies and instructions will be provided for you to effectively do your role.
- No previous experience necessary.
- Creative imagination and ability to make-believe are a bonus!
- Perform a check-up such as taking temperatures, listening to heartbeats, etc.
- You will be putting casts on stuffed animals and (bandages), setting bones etc.
- Must be willing to get your hands a little bit wet!
- Your goal is always to make the experience fun and memorable for children/youth.

Food Service Greeters

Pancake Breakfast Service

Time: 7:30 a.m.– 11:00 a.m.
You will be assisting with the breakfast preparation and making sure the area always stays clean and tidy. There will be ‘celebrities’ serving pancakes behind a table.
- Dynamic and friendly people needed.
- You will be assisting with the breakfast preparation under the supervision of our food vendor and the Food Service volunteer lead.
- Must always wear gloves as you are handling food – gloves will be provided.
- Pick up trays as people are finished eating and always ensure the service areas/tables are clean and tidy.
- Responsible for making sure food is served promptly and politely.
Lunch Service

Time: 11:00 a.m. – 2:00 p.m.
You will be assisting with the lunch preparation and making sure the area always stays clean and tidy.
- Dynamic and friendly people needed.
- You will be assisting with the lunch preparation under the supervision of our food vendor and the Food Service volunteer lead.
- Must always wear gloves as you are handling food – gloves will be provided.
- Pick up trays as people are finished eating and always ensure the service areas/tables are clean and tidy.

Museum Parking Lot

Must be 18 years of age or older
Time: 7:00 a.m. – 3:00 p.m.
You will help to control traffic, vehicle parking and parking access to reserved spots.
- This position requires leadership,, confidence, organization, and great communication skills
- Using a list provided, you will control access to the reserved VIP parking spots in the designated parking area.
- For all other visitors (not on the VIP list) you will direct them to where additional parking is available:

- Advise drivers to be cautious and drive slowly as there will be a lot of people attending the event.
Shuttle Bus Assistant

Must be 21 years of age or older.
Time: 7:00 a.m. – 3:30 p.m.
You will be assisting with the boarding of the shuttle buses and helping guests as needed.
- Dynamic and friendly people needed.
- You will be working at one of three locations:
Canada Aviation and Space Museum: 11 Aviation Pkwy
CHEO: 415 Smyth Road
Giant Tiger: 2480 Walkley Road
- Responsible for knowing the shuttle bus schedules to inform participants upon request.
- Must be able to manage and control large groups – maintaining order in the lineups as people wait for shuttles.
- Assist attendees getting on and off the buses as needed
- Set up pilons and barricades as needed. All materials needed will be provided.
Shuttle Bus (Rider)

Must be 21 years of age or older.
Time: 7:00 a.m. – 3:30 p.m.
You will be riding on one of the shuttle buses and act as the main point of contact should any communication be required. You will be provided a radio.
- Strong leadership and communication skills are an asset.
- Bring lunch boxes to volunteers working off-site and act as a liaison with those working off-site.
- Responsible for knowing the shuttle bus schedules to inform participants upon request.
- Assist people as needed.
Floater

Time: 8:00 a.m. – 2:00 p.m.
You will act as a relief to other volunteers as needed for lunch breaks, washroom breaks etc.
- You will work closely with Volunteer Lead and Role Leads.
- Circulate and assist/relieve any volunteers as needed.
- Must have some knowledge of each role – you could be asked to jump into any role.
Tear-Down

Time: 1:30 p.m. – 4:00 p.m.
You will assist with tearing down and cleaning up the event site once the event has ended.
- Notify families that activities are coming to an end and help in any areas that require clean-up.
- Please Note: There may be some physical work required – moving tables and barricades, taking down tents etc.
- Other duties include – storing away games & prizes, recording inventory, packing up boxes, etc.
Bike Parking
