About the Role

The Coordinator, Corporate Philanthropy supports the successful delivery of corporate donor relationships and sponsorship activities by coordinating logistics, preparing stewardship materials, supporting community visits, and ensuring accurate and timely information flow across the Corporate Philanthropy team.

Working closely with the team, the Coordinator helps keep projects moving, supports sponsor follow up, prepares key documents and touchpoints, and maintains accurate data in Raiser’s Edge and Asana. The role is people facing, supporting meaningful interactions with corporate donors, community partners, and internal teams.

The Coordinator plays an essential role in creating smooth experiences for corporate partners and ensuring that the team can operate efficiently and effectively.

You enjoy preparing materials, managing details, supporting events or visits, and ensuring the right information is ready at the right time. You communicate clearly, work well with colleagues, and bring a professional presence when interacting with sponsors, volunteers, and community partners.

You take initiative, anticipate the next steps, and follow through on commitments. You value collaboration, accuracy, and consistency, and you are energized by supporting a team whose work directly contributes to donor impact.

Primary Responsibilities

Corporate Donor & Sponsor Coordination

  • Coordinate timely follow up with donors and sponsors, including collecting assets, confirming deliverables, and scheduling touchpoints
  • Prepare stewardship materials such as thank you letters, recognition summaries, meeting packages, briefing notes, and follow up documents
  • Support the team by assembling documents, background information, and presentations needed for meetings or donor interactions

Community Visit & Engagement Support

  • Coordinate logistics for corporate and community visits, ensuring managers, volunteers, and internal teams have the information and materials needed
  • Prepare schedules, visit outlines, talking points, and supporting materials for on-site or off-site activities

Data & Information Management

  • Maintain accurate donor and sponsor information in Raiser’s Edge, including actions, notes, contact updates, coding, and revenue tracking
  • Run basic reports or data pulls as needed for stewardship, sponsorship fulfillment, or documentation
  • Conduct routine data quality checks to support reliable reporting and donor records

Project & Workflow Coordination

  • Monitor tasks, timelines, and key deliverables in Asana; flag upcoming deadlines or issues that require attention
  • Organize project files, documentation, and shared materials to support efficient collaboration
  • Prepare materials for team meetings, updates, and internal planning sessions

Team & Event Support

  • Assist with preparing materials for events or sponsor activities, including checklists, scripts, signage requests, and follow-up notes
  • Attend community events or donor visits as needed to support logistics and ensure a positive experience

Qualifications

  • Experience in coordination, customer service, fundraising, events, or related roles
  • Strong organizational and coordination skills with the ability to manage multiple priorities
  • Professional communication skills, both written and verbal
  • Ability to interact confidently and warmly with donors, sponsors, community partners, and volunteers in person, virtually, by phone and email
  • Proficiency with Microsoft Office Suite
  • Comfort learning and working within CRM and project management systems (training provided)
  • Ability to attend events outside regular business hours

Desired qualifications

  • Bilingual (English and French)
  • Experience with Raiser’s Edge/NXT
  • Familiarity with Asana or other task management tools
  • Experience preparing donor materials, visit briefs, or stewardship content
