About the Role

Reporting to the Director, Lotteries and Events, the Event Coordinator plays a key support role, responsible for ensuring smooth day-to-day operations, participant, donor and team support. This position will handle a variety of tasks such as managing event-related enquiries, organizing meetings, data entry, maintaining files and supporting event logistics leading up to and during event day.

You are a great communicator who is a self-starter, highly organized and has great attention to detail. You are able to successfully juggle multiple projects and reprioritize as needed. You are a problem solver, have great intuition and are able to meet deadlines. You are a team player who thrives in a busy, fast-paced environment and have a positive attitude. The Event Coordinator will manage multiple tasks while upholding the CHEO Foundation brand.

Primary Responsibilities

  1. Participant and Donor Support
    • Provide solutions to calls and emails relating to events and lotteries.
    • Participant registration support for events and customer service.
    • Providing tax receipts and acknowledgement receipts as needed.
    • Assist with prize distribution for lotteries and events.
    • Support stewardship of event participants (events, phone calls, thank you letters, etc.)
    • Other duties as needed.
  2. Team support
    • Organize meetings and take meeting minutes as required.
    • Support the purchase and sourcing of event materials.
    • Other duties as needed.
  3. Data management, Finance & Reporting
    • Maintain data quality and integrity in Raiser’s Edge and Asana. Input data as required.
    • List pulls and ongoing reporting as needed.
    • Creating purchase orders.
    • Ensure purchase order and invoice tracking is maintained and up to date in budget documents.
  4. Event support, onsite
    • Support event planning and execution.
    • Preparing materials, stocking tent supplies.

Qualifications

  • Minimum of five years of experience in event coordination and support.
  • Strong project management skills with the ability to manage multiple initiatives simultaneously.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Proficiency in CRM software and donor database management; experience with Raiser’s Edge is an asset.
  • Valid driver’s license and access to a vehicle.
  • Bilingualism is an asset.
