About the Role
CHEO Foundation is seeking a detail-oriented and proactive Philanthropy Coordinator to provide critical support to our Philanthropy team. Working directly with the Vice President, Philanthropy, this position will ensure seamless donor stewardship, database management, and administrative coordination, enabling the team to focus on cultivating transformational gifts. Your work will directly contribute to fundraising success across Annual Giving, Major and Mid-Level Giving, and Legacy & Estate portfolios.

You possess a keen eye for detail and are an enthusiastic professional with a passion for fundraising and donor relations. You excel in administrative support, problem-solving, and creating efficient systems. You are detailed-oriented, taking pride in accuracy whether managing donor data or preparing correspondence. You are hyper donor-focused, understanding the importance of exceptional stewardship and enjoy interacting with donors and supporters. You are excited by working in a fast-paced, passion-driven environment. You will collaborate with Philanthropy team members to achieve our goals together as well as manage the tools to assist in measuring outcomes. You are passionate about CHEO, CHEO Research Institute, and Roger Neilson Children’s Hospice.
Primary Responsibilities
- Working with the VP, Philanthropy, manage the administration supporting the identification, cultivation, and stewardship of transformational donors (individuals and private foundations) while working within the Raiser’s Edge database
- Frontline support of CHEO Foundation’s phone lines: speaking with donors on the phone, assisting with enquiries, and serving those who support the Foundation
- Fundraising support assisting in donor research, briefings notes and pipeline tracking, collaborating with team members to coordinate donor outreach and monitoring fundraising metrics and contributing to progress reports
- Preparation of donor correspondence: thank you letters, stewardship updates, proposals, gift agreements etc
- Proactive identification of new potential donors
- Updating Raiser’s Edge database in a timely fashion to reflect fundraising activity including visit outcomes, actions, notes, and relationship connections
- Provide comprehensive administrative support to Philanthropy team leadership, including calendar management, travel arrangement, and meeting coordination to ensure seamless day-to-day operations
- Assist in organizing internal meetings and events, liaising with cross-functional teams to streamline communication and support the efficiency of fundraising initiatives.
Qualifications
- To support our diverse donors, Bilingualism (English and French) is required
- Outstanding level of organization, accountability and time-management skills
- An interest in fundraising and a commitment to excellent donor relations & customer service
- A commitment to advancing equity, diversity, inclusion, belonging, and indigeneity
