About the Role
The Officer, Donor and Events plays a key role in delivering CHEO Foundation’s signature events and supporting the donor, participant, sponsor and partner experiences connected to events and lotteries. This role plans, coordinates and executes assigned signature events, supports lottery and event activity across the team and helps ensure details, timelines, data and relationships are managed with care.
Primary Responsibilities
Signature Event Lead
- Lead assigned signature event including planning, project coordination, execution and issue resolution.
- Develop and maintain event plans, timelines, task lists and related project management tools.
- Work with internal colleagues, vendors, volunteers, hospital partners and external stakeholders to support high quality event delivery.
- Provide event reporting during campaigns and prepare post event summaries, including key learnings and practical recommendations.
- Uphold CHEO Foundation brand standards and support a positive experience for participants, donors, sponsors and community members.
Event and Lottery Support
- Provide planning and operational support to team members across other signature events and lottery campaigns.
- Support partner stewardship within lottery campaigns, including timely follow up and service-oriented communication.
- Coordinate event and lottery activities that require input from colleagues, vendors, volunteers, participants and partners.
Donor, Participant and Sponsor Stewardship
- Act as a liaison for participants, donors and sponsors connected to signature events and lotteries.
- Work across teams to support stewardship of event participants, donors and sponsors.
- Participate in stewardship committee discussions and contribute practical insights from events and donor interactions.
- Identify and share potential prospects or relationship opportunities with the individual philanthropy and corporate philanthropy teams.
- Support proactive donor, participant and community outreach, including phone and email follow up.
Data, Finance and Reporting
- Maintain accurate records in Raiser’s Edge, Asana and related tools, with strong attention to data quality and confidentiality.
- Track event expenses and work within approved budgets.
- Support finance, reporting and reconciliation processes connected to events, lotteries and donor activity.
Qualifications
- Post secondary education in event management, fundraising, communications, business, hospitality or a related field, or equivalent experience.
- Experience in event planning, fundraising events, community events or a related role.
- Strong project management skills with the ability to coordinate multiple initiatives, deadlines and stakeholders.
- Excellent interpersonal and communication skills, both written and verbal.
- Strong attention to detail and commitment to accurate data, documentation and follow up.
- Ability to work independently, use sound judgment and know when to escalate issues.
- Comfort working in a collaborative team environment with shifting priorities.
- Ability to work evenings and weekends, as required.
- Experience working with vendors, sponsors, donors, participants, volunteers or community partners an asset
- Proficiency with CRM software, donor databases or project management tools; experience with Raiser’s Edge and Asana is an asset.
- Valid driver’s license and access to a vehicle.
- Ability to work in French and English is an asset.
