About the Role

The Stewardship Officer plays a key supporting role in the CHEO Foundation’s efforts to engage, thank and recognize donors through meaningful experiences, events, and communications. Reporting to the Stewardship Manager, this role supports a variety of stewardship activities, including donor events, acknowledgment processes, donor recognition initiatives, and impact reporting. The Stewardship Officer helps to bring stewardship strategies to life, ensuring every donor feels valued and appreciated for their generosity.

This role is ideal for someone who enjoys planning events, crafting thoughtful donor communications, and collaborating across departments to execute timely, accurate, and creative stewardship initiatives. With a focus on logistical coordination and donor experience, the Stewardship Officer ensures every detail supports the Foundation’s goal of building lasting and impactful donor relationships.

Primary Responsibilities

Event Execution:

  • With Stewardship Manager, plan and execute donor engagement events, such as receptions, and larger donor-focused activities such as donor tours.
  • Manage all logistics related to donor events, including vendor coordination, guest lists, and onsite setup (in conjunction with Volunteer Manager/volunteers where applicable).
  • Work with internal Comms team to create event programs, invitations, and materials related to the event.
  • Handle event RSVPs and follow-up communications with donors (post-event surveys etc.)

Donor Acknowledgment:

  • Draft regular updated acknowledgment letter templates for use with all levels of donors.
  • Ensure acknowledgment and thank-you letter process runs smoothly across a range of donors.

Engagement & Reporting:

  • With RMs, compile and assist with any donor nominations (external awards).
  • With RMs and at the direction of the Stewardship Manager, assist with bespoke engagement opportunities as they arise.
  • Assist with endowment, corporate, and grant reporting, including the preparation and timely delivery of impact reports.

Recognition Program Coordination:

  • Coordinate production of donor recognition plaques & draft mock-ups and liaise with Facilities (others at CHEO) to have them installed.
  • Communicate progress and work with RMs on timelines, etc.

Data Management Support:

  • Update and maintain event invitation and attendance actions in Raiser’s Edge.
  • Ensure recognition expectations and gift agreements are attached in Raiser’s Edge (working with RMs to keep this up to date).
  • House all gift agreement templates in SharePoint for easy access for all fundraisers.

Qualifications

  • Bilingual (English and French).
  • Post-secondary education in communications, event planning, fundraising, or a related field—or equivalent experience.
  • 2+ years’ experience in donor relations, fundraising, communications, or events, preferably in a nonprofit or healthcare setting.
  • Strong organizational skills and ability to manage multiple priorities with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient with Microsoft Office; experience with Raiser’s Edge is an asset.
  • Comfortable collaborating with internal teams, vendors, and volunteers.
  • Discreet and professional with confidential information.
  • Critical thinker with strong problem-solving abilities.
