Responsible Use of Artificial Intelligence

Our Commitment to Responsible AI

At CHEO Foundation, we are committed to using technology responsibly to support our mission of inspiring our community to invest in children’s health and wellbeing.

Artificial Intelligence (AI) tools can help us improve efficiency, enhance communication, strengthen donor engagement, and reduce administrative effort. AI allows our team to spend more time focused on donors, partners, and the impact of our work.

We recognize that the use of AI brings important responsibilities. Our approach is guided by principles of privacy, transparency, accountability, fairness, and human oversight.

How We Use AI

CHEO Foundation may use AI-enabled tools to assist with activities such as:

  • Drafting and improving written content
  • Summarizing information and meeting notes
  • Supporting data analysis and reporting
  • Enhancing productivity and administrative processes
  • Supporting fundraising teams in donor stewardship and engagement activities
  • Helping staff prepare for donor conversations by surfacing relevant information and insights

AI is used as a support tool to augment staff expertise and improve efficiency. Decisions regarding donor engagement, stewardship, fundraising strategies, and relationship management remain the responsibility of Foundation team members.

AI-Assisted Donor Communications

As part of our commitment to innovation and donor stewardship, CHEO Foundation may use AI-powered tools to support certain fundraising and donor engagement activities.

This may include helping staff draft personalized donor communications, preparing for donor meetings, and identifying opportunities for meaningful engagement based on information already available to the Foundation.

In some cases, donors may receive emails or other communications that have been drafted, enhanced, or personalized with the assistance of AI. All donor communications are reviewed and approved by Foundation staff before they are sent.

AI supports our work, but it does not replace human judgment, relationship management, or fundraising decision-making.

Protecting Personal Information

The privacy and security of donor, patient family, volunteer, employee, and partner information remain a top priority.

We use AI in accordance with applicable privacy laws, organizational policies, and data protection requirements. Personal and sensitive information is protected through established privacy, security, and governance practices designed to safeguard confidentiality and reduce risk.

We carefully evaluate the security, privacy, and data handling practices of AI solutions before they are adopted and throughout their use. Our practices are regularly reviewed to ensure they continue to meet evolving legal, ethical, and security standards.

Human Oversight

Important decisions are made by people, not AI.

Foundation staff review and validate AI-generated content, recommendations, and insights before they are used to support communications, decision-making, fundraising activities, or operational processes.

We recognize that AI systems can occasionally produce inaccurate, incomplete, or biased outputs. Human oversight helps ensure information is accurate, appropriate, and aligned with our values.

Fairness and Transparency

We strive to use AI in a manner that is fair, ethical, and consistent with our commitment to equity, diversity, inclusion, and accessibility.

We are committed to being transparent about how AI supports our work and to maintaining the trust of our donors, volunteers, employees, and community partners.

Continuous Improvement

As AI technology continues to evolve, so will our practices.

CHEO Foundation regularly reviews its governance, privacy, security, and ethical standards to ensure AI is used responsibly, safely, and in a way that supports our mission and the trust placed in us by our community.
